How to create a vinyl and merch waitlist

You announce the pressing on tour and fans DM their address. The label's Google Form has no cap, so 400 people want 150 records. Half of them wanted the clear variant and you pressed 50. Shirt sizes come in as free text, including one that says medium-ish.

Step by step

Set up the Second pressing yourself

These are the exact values the recipe applies. Change any of them to match your line.

  1. Create the waitlist

    Sign in, click New waitlist, and name it "Second pressing". It starts as a draft, so nothing is public until you publish.

  2. Set capacity to 150 in total

    In Settings, set the capacity to 150 in total. When the 150th person joins, the form reads as full and says so.

  3. Leave the hours open

    Under Hours, leave the schedule off so people can join at any time. You can pause the list by hand whenever you need to.

  4. Add the form fields

    Email is built in. On the Form tab, add Variant (required), Shirt size (bundle only), Shipping country (required). Labels and help text render as plain text.

  5. Show the counter

    In Settings, turn on the counter so the form shows how many spots are left. People join faster when they can see the number.

  6. Publish and share

    Click Publish. The Share tab has the hosted link, a QR code, and the script tag or iframe for your site. The submit button reads "Hold one for me".

A multiple-choice field for the variant, a dropdown for the size. Show/hide rules can show the size only for the bundle.

A text field now, so you can quote postage before you send the checkout link.

Number the fans

"You're #37." Early fans get the low numbers, which they like.

On Pro, a signed webhook per signup into Shopify, Airtable, or a script.

Ship in order

CSV in position order with variant, size, and country.

Can fans pay for the record here?

No. Unwaited does not take payments. Send checkout links in position order from Bandcamp or your store.

Can I cap the clear variant at 50 separately?

Not within one waitlist. Create a second waitlist for the clear variant with its own cap of 50.

Does it email fans when it ships?

Fans get a confirmation with their number when they join. Ship notices go out from your store.
