How to create a tattoo flash day waitlist

You post the sheet on Instagram, say first come first served, and people camp outside from breakfast. By noon the ones at the back have waited four hours to hear you are booked through close. A Google Form takes 80 names for 24 pieces and someone has to DM 56 people the bad news.

The flash day line starts at 8:00 AM on the sidewalk. 7 steps, about five minutes, or one click with the recipe below.

Step by step

Set up the Flash day, Nov 7 yourself

These are the exact values the recipe applies. Change any of them to match your line.

  1. Create the waitlist

    Sign in, click New waitlist, and name it "Flash day, Nov 7". It starts as a draft, so nothing is public until you publish.

  2. Set capacity to 24 in total

    In Settings, set the capacity to 24 in total. When the 24th person joins, the form reads as full and says so.

  3. Leave the hours open

    Under Hours, leave the schedule off so people can join at any time. You can pause the list by hand whenever you need to.

  4. Add the form fields

    Email is built in. On the Form tab, add Name (required), Phone (required), Flash number (required). Labels and help text render as plain text.

  5. Add the "Time block" time slots

    On the Form tab, add a Time slot field named "Time block" with 11:00 AM to 1:00 PM (6), 1:00 to 3:00 PM (6), 3:00 to 5:00 PM (6), 5:00 to 7:00 PM (6). Each slot fills on its own and reads as full when its spots are taken.

  6. Show the counter

    In Settings, turn on the counter so the form shows how many spots are left. People join faster when they can see the number.

  7. Publish and share

    Click Publish. The Share tab has the hosted link, a QR code, and the script tag or iframe for your site. The submit button reads "Claim a block".

Cap the day

Twenty-four pieces as a backstop. Set it to what your hands can do.

Flash number

A short text field. You know which pieces are popular before you set up the station.

Numbered clients

"You're #9, 1:00 to 3:00." They show up for their block, not at dawn.

Within the block, in order

Export the CSV in position order. The first to book in a block goes first.

Next flash day

Rename the list and the blocks, clear the entries, share the same link.

Questions people here ask

Can I take a deposit when they book?

No. Unwaited does not take payments. Send the deposit link with the confirmation or take it at the station.

Can I cap a specific flash piece?

Yes. Turn the flash number field into a slot field with a capacity per design, so a one-off piece can only be claimed once.

What if someone doesn't show?

Delete the entry, or send "your turn" to the next person from the Entries tab. Positions are never reused.

Can I keep a standby list for no-shows?

Raise the day cap slightly above what you can do and tell the last few they are standby. Or make a second waitlist called Standby and link it from the full message.
